Job Title: Sales & Marketing Coordinator
Reports To: Director of Sales & Marketing
Location: DoubleTree by Hilton St. John’s Harbourview
Status: Full-Time
Position Summary
The Sales & Marketing Coordinator plays a vital role in supporting the Sales & Marketing department in all aspects of group sales, event coordination, and promotional initiatives. This position is responsible for administrative support, effective communication with clients and internal departments, and ensuring the smooth planning and execution of group bookings, meetings, site visits, and local marketing activities. The Coordinator ensures that all sales activities align with Hilton standards and reflect the values and service culture of DoubleTree by Hilton St. John’s Harbourview.
Key Responsibilities
- Respond to incoming group, corporate, and meeting inquiries via phone, email, and Hilton platforms; assist in preparing proposals, contracts, and confirmations.
- Manage all aspects of group room blocks: enter and maintain blocks in the system, monitor cut-off dates, input rooming lists, and coordinate any special guest requests.
- Coordinate and prepare welcome packages, room drops, guest amenities, and meet-and-greet arrangements for arriving group and tour guests.
- Serve as primary contact for site inspections in the absence of the Director of Sales & Marketing; conduct professional and engaging tours for prospective clients.
- Prepare and distribute group summaries and Banquet Event Orders (BEOs); ensure all departments (Front Office, Housekeeping, Food & Beverage) receive accurate event details in a timely manner.
- Liaise with internal departments to communicate changes to group arrivals, special requests, or last-minute adjustments.
- Track and assist with sales activity reports, including DSJ submissions, and weekly sales updates.
- Data entry of groups and other administration tasks as required.
- Support the execution of local marketing initiatives, promotional events, and seasonal campaigns.
- Provide support for social media activity, including drafting posts, sourcing content, and coordinating promotions in line with brand guidelines.
- Maintain organized and up-to-date sales materials including internal calendars, group arrivals, function schedules, and marketing initiatives.
- Assist with coordination of internal team meetings, weekly revenue calls, and special sales initiatives.
- Maintain supplies and organization for sales office tools such as marketing brochures, branded materials, and collateral.
· Have an active role in Hilton’s CARE committee.
· Develop promotional and advertising materials for the hotel and The Little Sparo.
- Other duties assigned by manager.
Qualifications
- Post-secondary education in Hospitality, Business, Marketing, or a related field preferred.
- Minimum of 1 year experience in a hotel, sales support, or administrative role; hospitality experience is considered a strong asset.
- Strong organizational and multitasking abilities with a keen eye for detail.
- Excellent verbal and written communication skills; professional and personable in client interactions.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint); experience with Hilton systems such as PEP, Delphi, R&I, and GRO is an asset.
- Self-motivated, adaptable, and capable of working both independently and collaboratively.
Working Conditions
- This position is primarily office-based with regular movement around the property for site tours, event preparation, and departmental coordination.
- May be required to assist with events or site inspections outside of standard business hours, including evenings or weekends, on occasion.
- Professional attire and demeanor in line with Hilton brand standards is expected at all times.
